Minutes of the Meeting

Fitzwilliam Town Library Board of Trustees

4 January 2021

Present:  Robin Marra, Dick Goettle, Beth Lorenz, Trish Toomey, Pam Troccia, Brian Doerpholz, and Matt Buonomano.

Robin Marra called the meeting to order at 5:48 PM in the Quick Meeting Room of the Library, with Dick Goettle, Robin Marra, Beth Lorenz and Pam Troccia in attendance at the library and Brian Doerpholz, Trish Toomey and Matt Buomnomano, a citizen participant, present via Zoom.

The December 7, 2020 minutes were reviewed and discussed.  One change was requested.  A motion to approve the corrected minutes was made by Pam Troccia and seconded Dick Goettle.  The motion was approved by all Trustees.

The Trustees reviewed and, those present, signed the Library Manifest.  The Spending-to-Date Expense Report was not available.

Dick Goettle reported that the work on the railings and the roof, relating to the porch, have been completed.  Bids for painting the north side, west side, fence sections, fire escape and railings have been received from Dennis Wright and Caleb Massin. The CIP for 2021 will be re-submitted to include the quoted cost to complete the painting in 2021.

The Library Director’s report was not reviewed as Kate was unable to attend the meeting.

The Trustees reviewed the current COVID-19 protocols.  The infection rate continues to inch up in Cheshire County, as well as Fitzwilliam.  A motion, put forth by Trish Toomey and seconded by Dick Goettle, was made for the Library to close to patrons in the building and go back to curbside pick-up.  The motion failed to pass.  It was determined that the Trustees would discuss this procedure with the Library personnel and meet on Monday, January 11 at 5:45 to further discuss the situation.

The Trustees discussed the meetings to be held with the CIP and Budget Committees.

Beth Lorenz updated the Trustees on progress made with a possible consultant to review the Locke collection and make suggestions for displaying the items, rotating the displays, what type of cases/housing may be needed, etc.  She and Trish Toomey spoke with Robert Goodby of Monadnock Archaeological Consulting, LLC who has offered to assist the Library with a review of the collection and how best to move forward with displaying it.  Beth will contact him to set up the evaluation and provide him with a list of items in the collection.

Richard Marshall, a Fitzwilliam resident, has recently retired and contacted Robin Marra to offer his assistance with the next long range (5 year) planning process for the Library.  After discussion, the Trustees proposed to offer that Richard work with Kate and one other Library Trustee to assess whether the current 5 year goals have been met and to begin the next 5 year planning process.

As there were no other business and/or announcements brought forth by the Trustees, a motion to seal the non-public session was made by Pam Troccia, seconded by Beth Lorenz and approved by all Trustees.  A motion was made by Dick Goettle to adjourn from a public session to a non-public session.  The motion was seconded by Beth Lorenz and approved by all Trustees.The motion to move out of the non-public session and return to the public session was made by Dick Goettle, seconded by Beth Lorenz and approved by all Trustees.

The next Trustees meeting has been scheduled for Monday, February 1, 2021 at 5:45 p.m.

Dick Goettle put forth a motion to adjourn the meeting at 7:14 p.m.  Pam Troccia seconded, and all Trustees approved the motion to adjourn.
